How to Charge Fuel


  • Select the Operations Tab. Select Actions/Fuel




  • The Fuel screen provides quantities of the various fuel and oils in stock.




  • Select the Tab for the chosen fuel i.e. 100LL and select Charge in the designated tank or bowser. This opens the Charge Fuel screen.




  • The From Tank and Product Number will be automatically populated.


  • Enter the Registration, this will show Customer name to the right.


  • Enter Quantity of fuel in litres and if required Docket #.


  • Batch Number will autofill.


  • The Date/Time can be left blank, which will use “now” as the date and time of the transaction, otherwise click the tick-box to open and then enter the date and time when the transaction happened.


  • Alternatively, to help speed up backdating click the (Yesterday). option which will tick the Date/Time box and pre-enter yesterday’s date so only the time needs entering.


  • An e-signature can be taken in the Signature grey box.


  • Tick "Email receipt to" box if the pilot or customer requires a copy. The email will auto fill based on the customer's email address but this can be manually changed on screen.


  • Select Save to complete as an Uncharged Activity or Save & Pay to proceed to the Make Payment screen.


How To Accept Fuel Deliveries


  • To add fuel deliveries, select the Operations tab , select Actions/Fuel from the menu.


  • Select the Tab for the chosen fuel i.e. 100LL and click Deliver, on the relevant tank or bowser. This opens the Fuel Delivery screen.



  • The Tank and Product Number will be automatically populated.


  • Enter the Quantity of fuel in litres that is being delivered.


  • Enter a Cost Price if known, this is not a mandatory field.


  • If required, add the Supplier using the Supplier Number from the Supplier Admin section.


  • Enter the Batch Number in the batch number box


  • To back date the charging of the fuel, select the Date/Time option and enter the required details.


  • Select Save to complete delivery.



How To Transfer Fuel


  • To transfer fuel, select the Operations tab, select Actions/Fuel.


  • Select the Tab for the chosen fuel i.e. 100LL and select Transfer, on the relevant tank or bowser you want to transfer from.


  • This opens the Transfer fuel screen screen.



  • The From Tank and Product Number will be automatically populated but can be changed from the drop down option in the From Tank.


  • From the drop down menu select the To Tank you want to transfer to.


  • Enter the Quantity in litres you are transferring.


  • Select Save to complete the transfer.


  • To back date the charging of the fuel, select the Date/Time option and enter the required details.

How To Adjust Fuel


  • Select the Operations tab, select Actions/Fuel.



  • Select the Tab for the chosen fuel i.e. 100LL and select Adjust , on the relevant tank or bowser. This opens the Adjust Fuel screen.



  • The Tank to Adjust and Product Number will be automatically populated.


  • Select Increase (+) or Decrease (-) from the dropdown menu and enter the quantity of fuel to adjust in litres.


  • Enter a Reason for the adjustment, this is a mandatory field.


  • To back date the charging of the fuel, select the Date/Time option and enter the required details.


  • Select Save to complete the adjustment.

Fuel Dips


  • Select the Operations Tab and Action/Fuel, then click the Fuel Dips button underneath the menu.



  • The Fuel Dips screen will load with today's date selected.


  • To change the date use the left and right arrows to move forwards and backwards one day at a time or click on the date to select the date from the pop-up calendar.



  • For each of the Fuel Locations available enter the Opening and Closing balances for that day. This can be done separately at the start and end of the day or both together at the end of the day.


  • Select Save to complete the entry.


  • RedAtlas will compare the difference in balances to the Sales and Movements for the same day.


  • Depending how the fuel location is configured in Fuel Locations warnings will show if the Diff is too much.
